Institutional Privacy Charter

Institutional Sovereignty Guarantee: Your institution owns all student, academic, and operational data. Intellectla acts strictly as a secure operating infrastructure provider.

1. Introduction

Intellectla Inc. ("Intellectla", "we", "our", or "us") provides an AI-native operating system for learning institutions. We are committed to protecting the privacy, security, and integrity of all data processed across our platform. This Privacy Charter governs how we handle data entrusted to us by partner institutions, students, faculty, and administrative staff.

2. Information We Collect

We collect information solely to provide, operate, and enhance institutional management services. We categorize collected information into four principal tiers: Student Data, Staff Data, Institutional Data, and Financial Telemetry.

3. Student Data

Student Data includes matriculation identifiers, enrollment status, coursework submissions, assessment scores, attendance logs, prerequisite completion records, and communication with faculty. Student records are processed strictly under the direction and ownership of the partner institution.

4. Staff & Faculty Data

Staff data includes name, institutional email, department assignments, teaching schedules, course syllabi, rubric evaluations, and administrative audit logs necessary for role-based authentication and workload balancing.

5. Institutional Knowledge & Documents

Institutional documents encompass academic handbooks, senate policy statutes, course catalogs, accreditation filings, curriculum matrices, and facility schedules uploaded to the Intellectla semantic index.

6. Financial & Bursary Data

Financial information includes fee schedules, payment transaction verification hashes, outstanding balances, scholarship endowments, and bursary clearance statuses. Intellectla does not store unencrypted payment cardholder numbers.

7. How We Use Information

We use processed data exclusively to: (a) synchronize academic records across institutional departments; (b) provide contextual query capabilities through the Institutional Graph; (c) assist educators in detecting learning bottlenecks; and (d) automate administrative clearance workflows.

8. AI & Automated Processing Boundaries

Intellectla operates under a strict Zero-Training Policy: proprietary institutional records and student dossiers are NEVER used to train generalized commercial AI foundation models. All semantic inferences are executed in isolated, stateless runtime containers within the institution's dedicated tenant perimeter.

9. Data Sharing & Third-Party Boundaries

We do not sell, rent, monetize, or broker student or institutional data to third parties. We do not permit advertising networks or data aggregators on our platform.

10. Third-Party Infrastructure Providers

We engage vetted cloud hosting, database, and telemetry infrastructure providers who are bound by stringent data processing agreements (DPAs) matching or exceeding our security standards.

11. Data Security & Storage

Data is safeguarded using TLS 1.3 encryption in transit and AES-256 encryption at rest. Multi-factor authentication, cryptographic tenant isolation, and granular role-based access controls prevent unauthorized cross-account visibility.

12. Data Retention & Deletion

Institutions retain absolute sovereignty over their data lifecycle. Upon termination of an institutional agreement or upon formal request, all active tenant indices and database records are permanently purged according to verified cryptographic sanitization standards.

13. Cookies & Session Telemetry

We use strictly necessary session cookies for security authentication and CSRF protection. We do not use third-party cross-site behavioral tracking cookies.

14. Children & Minor Data Protections

When deployed in secondary academies or institutions serving minors, Intellectla complies with applicable educational privacy standards, operating as a service provider under institutional authorization.

15. International Transfers & Data Sovereignty

Data is hosted in secure data centers chosen in consultation with partner institutions to adhere to local educational data sovereignty mandates.

16. Institutional Rights & Governance

Partner institutions hold the legal right to export full institutional archives in open standard formats (JSON/CSV/PDF) at any time through the administrative console.

17. Policy Changes & Contact
